With this report, you can view customers\u2019 payment behavior and the company\u2019s own payment behavior. The report can be found in Payments > Payment reports.
In the report search criteria, you can choose whether to monitor customers’ or the company’s own payment behavior. To view customers’ payment behavior, select Customers in the Report type menu. On the other hand, if you want to view the company’s own payment behavior, select Suppliers as the type.
In the fields of the Payment date search criteria, specify the report time interval, and the invoices whose payment date is during the specified interval are retrieved for the report. The start date of the time range is by default the first day of the current fiscal period. By default, the end date is the current date, i.e. the date on which the report is being generated.
It is also possible to select a specific reporting group and/or specific business partners in the search criteria, limiting the search to the selected reporting group and/or desired business partners. The business partner’s reporting group is specified in the business partner register in the Business partner basic info in the Registry information section’s Report group menu.
Note! The business partner group set for the business partner in the Registry information section’s Groups that the partner is a part of item is not considered in the report search criteria.
In the search criteria Reporting group and Business partner menus, All is selected by default. If a specific reporting group or groups are selected in the Reporting group menu, the business partners pursuant to these reporting groups can be selected after that in the Business partner menu. On the other hand, if nothing is selected in the Reporting group menu but the default option All is left in it, all business partners pursuant to the report type can be selected in the Business partner menu regardless of the report group set for them.
The search criteria option Include business partners without events can be checked if you also want to display business partners with no payment transactions during the time interval specified in the search criteria in the search results of the report. For these business partners, the report displays 0 as the sum for the No. of Invoices, Invoices total and Due date - payment date columns, and they are ignored in calculating the total average of the report.
Once the search criteria have been specified, run the report by clicking the Search report button at the top left corner of the view.
The search results of the report list the business partners in alphabetical order by name. In addition to the name, the listing displays the following data:
- Company ID
- Customer No.
- Reporting group
- No. of Invoices
- Invoices total
- Due date - payment date
The No. of Invoices column displays how many invoices the business partner has with the payment date during the time interval specified in the search criteria, and the Invoices total column displays the total sum of these invoices.
The Due date - payment date column displays the difference between the due date and payment date. This is the average calculated based on the invoices included in the search results for each business partner. If the number is negative, this means that the invoices have been paid late. Minus figures are displayed in red in the column. On the other hand, if there is a positive figure in the column, the invoices have been paid on time. If the figure in the column is 0, the invoice was paid on the due date.
The average calculated from the sums is displayed at the bottom of the search results with regard to the Invoices total and Due date - payment date columns.
From the search results, you can drill down into the invoice payment transactions by business partner by clicking the name. In this case, a second section is displayed under the Search results section, with headers indicating the name of the business partner whose invoices have been drilled down into. This section lists the payment transactions retrieved to the report with regard to the business partner in question by invoice number.
In addition to the invoice number, the payment transaction list displays the following data:
- Invoice date
- Due date
- Invoice amount
- Paid amount
- Payment date
- Due date - payment date
- New due date
This search result section displays each payment transaction as a separate row. For example, if the selected business partner had two invoices with a total of three payment transactions, the search results would display three rows.
By clicking the invoice number, you can drill down into the Invoice view.
The due date in the New due date column is informative, i.e. if a new due date has been set for the invoice, it is displayed in this column. However, the figure in the Due date - payment date column is calculated from the difference between the original due date and payment date.
The buttons in the upper section of the report
In addition to the Search report button, the buttons in the upper section of the report include the following:
- The Clear button clears the entered search criteria, and if a report has already been retrieved using the specified search criteria, the search result is also cleared
- The Export data button exports the search results into a CSV file at the accuracy of the business partner-specific search result section at once for all of the business partners in the first search result section
- The Age distribution of invoices button allows drilling down into the Age distribution of invoices report
