The new graphic cash flow report replaces the old cash flow report. This new report allows you to view the balance and development as well as bank transactions of the selected bank accounts. The report also shows how the transactions in Procountor will affect the development of the bank account balances. The new reports can be found under Reports Cashflow reporting.
The Cash flow report view allows you to monitor the development of cash flow by bank account and receipt status/type. You can analyze the data using combinations of various search types. The report view can be filtered and used for drilling down to row level: bank statements and receipts/orders.
Report search criteria
In the Time period search criteria menu, you can choose whether to view the development of balance in periods of
- 2 + 1 months (two previous months and one future month),
- 2 + 2 weeks (two previous weeks and two future weeks),
- current year or
- 10 + 2 months (10 previous months and two future months).
You can search for cash flow data for a specific time interval. Enter the start and end date in the Start and End fields manually or using Calendar-view and click the Select period button to activate the selection. If a financial year has not been set for the period in question, the dates of the Time period search criteria will be highlighted in red. Specify the financial year in Management > Accounting info > Financial years.
You can search for bank accounts using the Search field by entering part of the account number. Clicking the search field opens a drop-down list of the bank accounts that you can select. You can select several accounts in the Bank accounts search criteria menu by clicking on individual accounts or highlighting them with the left mouse button.
Please note that you can view data for several accounts only if they all are in the same currency.
In the Receipt status search criteria menu, you can select Business transactions and/or Other transactions. Business transactions refer to receipts with the status Not sent, Sent, Paid, Approved, Partly paid, Marked paid and Invoiced.
In the Receipt type search criteria menu, you can select the receipt types to view on the report. The options are:
- Sales orders
- Sales invoices
- Purchase orders
- Purchase invoices
- Tax return for self-assessed taxes
The Receipt type search criteria menu only applies to the lowest Future details image and future section of the graphs. The list shows all of the receipt types with associated transactions in any account. If there are no transactions associated with a receipt type, it is not displayed in the list of the Receipt type search criteria menu. Changes can take place in the scaling of the graphs if only a specific receipt type is selected in the menu.
There is an eraser icon, or Clear selections button, at the top right corner of each search criteria menu. With this button, you can clear the selections made in the menu in question.
The Clear selections button under the search criteria menus clears all of the selections.
The Cash flow report is updated every two hours during the day between 6 a.m. and 11 p.m. The most recent update time is displayed in the top left corner of the report.
Cash flow history and future
The topmost graph in the Cash flow report view depicts the development of the balance of the selected account and estimated development of its balance (Deposits, Withdrawals, Future Deposits and Future Withdrawals for the selected account) during the selected time interval. The Balance graph indicates the actual balance of the bank account. The data is obtained from the bank statement. The Future balance graph shows a forecast of the future balance of the bank account. This data is based on the receipts and orders in Procountor.
The centermost graph illustrates the actual cash flow and forecast divided into deposits and withdrawals. Data on actual deposits and withdrawals is obtained from the bank statement. The estimates of future income and expenses are obtained from receipts and orders in Procountor.
You can access the row level (bank statements and receipts/orders) with the To rows button. Both To rows buttons open the same Row information view.
The Future details table shows only future withdrawals and deposits in tabulated format during the selected time interval based on Procountor receipts/orders.
You can edit which receipts are displayed in the Future details table by selecting the receipt types in the Receipt type search criteria menu. The list shows all of the receipt types with associated transactions in any account. If there are no transactions associated with a receipt type, it is not displayed in the list of the Receipt type search criteria menu.
There is an Excel printing button at the top right corner of all graphs for exporting the data easily into Excel format.
