Procountor's dimension-specific limitation of user rights can be used for limiting a person's access rights to certain dimensions and items only. This enables user rights to be limited to viewing the person's cost centre only.

The function limits a user’s rights to selected dimensions and items only. It enables viewing of the income statement, balance sheet, general ledger and general journal by dimension, i.e. by cost centre.
Setting the user right limitation
In Procountor’s menu section Management > Users and privileges > Select the user, for whom you want to add a limitation to certain dimension(s) only. Then select Edit user privileges > Tick the box “Allow to search only for the selected dimension-item pairs (invoices and accounting reports)?”. > Then, move to “Limit dimensions” and select the dimension/item pairs that you want to allow the user to view.
If the limitation is in use, the user can only view receipts dimensioned with an item that the user has the right to view.
Dimension-specific limitation of user rights limits the following widgets directly from the homepage: Cash and ledger tracking, bank account balance, invoices waiting for verification, result tracking, revenue and result tracking. Quick links are visible but they can only be used to view those invoices that are within the scope of the user’s access rights.
The user can search and drill down to receipts that have been marked with his/her item. Other user rights specify whether the person is allowed to edit or only view those receipts. (A person with adequate user rights can create a sales invoice, for example, but but he/she cannot search for it afterwards, if it has not been dimensioned with his/her item). Dimension-specific limitation of user rights is stronger than Waiting for own verification and approval, that is if such a purchase invoice has been sent for verification/approval to a person that does not have its dimension/item, the person will not be able to view the invoice. If a dimension is empty, the user can verify the invoice if they have been marked as the verifier of the invoice, but the invoice can no longer be searched from receipt search after the verification. If the dimension is some other than what the user has rights to, the user will not be able to verify or approve the invoice.
In the Receipt search view, you can specify whether you want to search for receipts marked with a certain dimension/item only, or all receipts within the scope of your user rights. In the New search condition drop-down menu, you can select the option Dimensions and then use the plus button to add the new search condition. This will enable you to limit the search by dimension.
A user must have viewing rights to accounting reports in order to view transactions marked with his/her dimension. These reports only include transactions belonging to dimensions or items within the user rights.
In the accounting report view, the user can select the income statement, balance sheet, general journal or general ledger. The reports only show the sums belonging to the selected dimension/item. Limiting the report by Dimensions and Items enables selection of transactions belonging to a certain item only. These menus only allow the user to select dimensions and items within the scope of his/her access rights.
From the income statement and balance sheet, the user can drill down to the general ledger. When using the dimension-specific limitation of user rights the report only shows those receipts to which the user has access rights. The accounting value displayed in the income statement and balance sheet is the item’s share of the total accounting value of the receipt, not the total accounting value per se. When drilling down to the general ledger, the total value of the receipt is shown, i.e. all entries in the receipts.
If the user’s access rights to receipt types have been limited to “only personal”, e.g. only personal purchase invoices, dimension-specific limitation of user rights restricts reports to displaying only the number and total sum of the receipts. It is not possible either to drill down to the accounting page or invoice view of a single receipt.
If the user has viewing rights to everything, he/she can view salaries marked with his/her dimension item, but not his/her own salary, for example, if these are not marked with his/her item. If the person’s access rights have been limited to “only personal”, he/she can only view his/her personal salaries in the receipt search.
ATTENTION! Users, who are subject to dimension-specific limitation of rights cannot use graphic product or accounting reports.
