Purchase reporting can be used to track and compare company's purchases and product- and supplier-specific key figures. The reporting view can be filtered and used for drilling down to day or invoice row level.
The data of the reporting is retrieved from purchase invoices by invoice date, and the figures can be displayed with or without VAT or based on the quantities of invoiced products. Depending on the invoice status, invoices are either categorized as Business transactions or Other transactions. Purchase accruals and dimension data are not included in the report.
Data can be retrieved either for the current accounting period, the current year, the previous 6 months, the previous 12 months, or for a specific date interval by filling Start ja End dates manually or using Calendar-view. When retrieving data within a certain date interval, always remember to click on the Select period button to activate the selection.
The dates in the Time period search criteria will turn red, if you have not added a fiscal year for those dates. You can add a fiscal year in Management > Accounting info > Financial years.
You can use the Search field to search for products and suppliers by typing their names. In the Product, Product group, Supplier, and Supplier group menus, you can select multiple search criteria by by clicking them individually or painting subsequent choices with the left button of your mouse.
The upper graph presents the development of purchases for the time period you have selected. The standard view is called the Purchase overview. The data can also be displayed as cumulative purchase, purchase compared to previous year, cumulative purchase compared to previous year or purchase difference % to previous year by choosing the appropriate small icon from the upper right corner of the graph.
By clicking on the PDF and Excel buttons in the top right corner of the Purchase overview graph, you can easily export the data to PDF or Excel format. You can use the To invoices button to drill down to the invoice row level. The list that opens can be sorted by double-clicking on the column headers or exported to Excel.
You can also export individual graphs to Excel by selecting the Excel button in the top right corner of the graph. Data from purchase invoices can be filtered for individual graphs by product or by product group, and by supplier or supplier group.
The Clear selections button at the bottom of the reporting view clears all selections.
The report is updated once an hour. The latest update time is displayed in the top left corner of the report.
