The Ledger accounts report shows the totals of the debit and credit entries in each account. The report can be used e.g. in group reporting when notifying the parent company of the balances of the subsidiaries' accounts.
To run the Ledger accounts report, go to Accounting/Accounting reports and select from the Accounting report type drop-down menu the Ledger accounts option, and click Search report.
You can also find the report in the Report formulas function, i.e. you can use it as a basis for creating your own reports.
Available search conditions
Default search conditions
Receipt date - This search condition sets limits for the dates of the receipts to be included in the search results. By default the start date is the start date of the oldest open accounting period.
Report length - The option selected by default is “Option”, which cannot be changed.
Report columns - Select the desired comparison data to be shown in the search result.
Name - This entry is used for searching in the Name field of the accounting pages.
Receipt type - In the drop-down menu you can select the receipt types to be included in the report. You can select several receipt types at the same time.
Report language - You can select Finnish, English or Swedish.
Receipt status - In the menu you can select the statuses of the receipts to be included in the report. The option Business transactions includes all receipts in status approved, but not those in statuses invalidated, unfinished, verified or received, and not receipts of type order. The option All includes all receipts, except those in statuses invalidated, and orders in status invoiced. The option non-transaction includes receipts in statuses unfinished, verified and received, and all orders in statuses other than invoiced. You can select several receipt statuses at the same time, except if you select option Business transactions, All or Non-transactions.
Show rows with zero values - If you tick this box, the report also shows those rows that have total sums of value zero.
Comparison data - You can select options Budget (provided that the budget has been imported), Previous year or Percentage.
Other search conditions
New search condition -In this drop-down menu you can select additional search conditions to the report.
Entry period (yyyy-mm) - This search condition allows you to select receipts by the entry period, e.g. 2012-12. The system displays no default value for the entry period. If you enter both the date and the entry period, the system selects the receipts by the shortest common period of time for those two criteria (for example, Receipt date 01.09.2012 - 31.10.2012 and Entry period 2012-10 - 2012-12 yield receipts from time period 01.10.2012 - 31.10.2012).
Invoice currency - This search condition allows you to select receipts in the desired currency only to the report.
Report currency - This search condition allows you to select in which currency the amounts are shown in the report. The exchange rate used is determined by the exchange rate retrieval frequency setting in the Company info.
Number format - This condition allows you to select in which number format the amounts are shown in the report.
Transaction value - This search condition allows you to select transactions to the report by the transaction value of the entry.
Company ID - This condition is used for searching by the Company ID field of the receipt’s accounting page.
Processing the search result
When you click the Search report button, the report specified by the selected search conditions is opened in the Search results section. The search conditions Report columns and Comparison data specify the columns that are shown in that section.
The buttons in the Search result section
The HTML, PDF, Excel buttons allow you to display the report in the desired format. The
Search transactions button opens a list of the selected report row’s transactions at the bottom of the view. By clicking the transaction you can drill down to the information in the individual receipt.
