Using the Sales invoice search function, you can search for sales invoices and sales orders.
The Search invoices button searches receipts according to the given search criteria and displays the search result in the lower section of the view.
The Clear button clears the given search criteria.
The My searches button can be used to save and recall frequently used combinations of search criteria (see the My searches function for details).
The x button removes the search criterion.
The + button adds a search criterion.
Using the search criteria
You can combine the search criteria as needed. When you use several search criteria, they can be combined using the conjunction AND, i.e. the search results will only include receipts that fulfil all of the given search criteria.
You can include the * and ? characters in a text search. The * character represents any character string (also null), and ? represents any single character.
When searching by date, enter only a start date in order to find all items dated on and after that date. Alternatively, enter only an end date to find all items dated up to and including that date. You can also use both the start and end dates to search for items dated between them.
Available search criteria
Original invoice number
This search criterion specifies the search by original invoice number. In the sales invoice view the field Order reference is comparable to Original invoice number.
This search criterion specifies the statuses of the receipts to be included in the search results (it is possible to select several statuses simultaneously)
This search condition specifies the receipt types to be included in the search results (you can select several receipt types simultaneously)
This search criterion specifies the range for the dates of the receipts to be included in the search results.
Due date between
This search criterion specifies the range for the due dates of receipts to be included in the search results.
Accounting period between
This search criterion returns receipts dated within the accounting period within the specified period of time.
Delivery week between
This search criterion returns receipts with delivery weeks falling within the specified period of time.
This search criterion specifies the invoice group, e.g. Group invoice, of the receipts to be included in the search results.
Business partner main group
This search condition can be used to search for receipts by customer, supplier or person.
Business partner group
This search criterion enables searching for receipts by created business partner groups.
Business partner group defining
This search criterion is used to search for receipts by their current group or their business partner group at the time of creation.
Last edited by
This search criterion can be used to search for receipts by the person who last edited them.
This search criterion is used to search for receipts by the selected ledger account.
This search criterion is used to search for invoices by name.
This search criterion can be used to limit the search to accrued or non-accrued receipts only.
This search condition specifies searching by the seven-digit company identifier.
This search condition specifies searching by customer number.
This search criterion is used to search for invoices by their invoice number in Procountor.
Bank reference code
This search criterion is used to search for receipts by the bank reference code in the system.
This search condition is used to search for receipts by the invoice channel, e.g. Mail or Electronic invoice.
This search condition is used to search for receipts by billing address.
This search condition is used to search for receipts by the contact person entered in customer management.
This search condition is used to search for receipts by the terms in the Additional information field.
This search condition is used to search for receipts by the terms in the Notes field.
This search condition is used to search by product name.
This search criterion is used to search by product code.
This search condition is used to search for receipts by the terms in the Comment row field.
Accounting value and currency
This search condition is used to search for receipts by accounting value and currency.
Collection- and penal expenses
This search criterion is used to search for receipts by collection and penal expenses.
Invoice transaction information
When this search criterion is used, the system displays selection fields for the time period and action, and a free text field for the name of the transaction’s creator. Details on invoice transaction information can be found here.
Processing the search result
The search result corresponding to the search criteria is displayed in the table at the bottom of the Get travel and expense invoices view.
You can sort the search result (e.g. by name or accounting value) by clicking on the column headers. The results will remain sorted until you exit the view. You can alter the number of rows displayed by left-clicking and dragging the boundary between the search criteria and search result. The cursor will turn into a bidirectional arrow at the correct location above the button bar.
You can perform various functions with the search result, by using the buttons above the list or by right-clicking and selecting from the menu. The buttons are Invoice/Accounting/Attachments, Preview, Printable list, Payment reminder and More actions.
Functions in the button bar
The Invoice button opens the selected receipt. The view also includes Next and Previous buttons, by which you can move backward and forward in the search results.
The Accounting button opens the accounting page of the selected receipt.
The Preview button opens the selected receipt in printable format (HTML or PDF).
Use the Attachments button to add, view or delete attachments (see details in the Attached files function).
The Printable list button allows you to open the search result in different formats. Options include: Search result and VAT specification, Printable ZIP package, Printable PDF package, Brief export file and Extended export file.
You can dimension several invoices at once by clicking on the Group dimensioning button (for more information, see the Group dimensioning function).
The Periodizations button enables you to create several journals at the same time (for more information, see the Periodizations function).
Functions in the right mouse button menu
When you right-click on the search results, this will open a menu containing the functions in the button bar along with several other functions:
The Search result and VAT specification option exports the search results and VAT specification in HTML format to a new browser window, from which you can print or save it.
The Printable ZIP package option creates a printable ZIP package of the receipts on the rows. The receipts in the package are in PDF format, and the invoices include all attachments.
The Printable PDF package option creates a printable PDF package of the receipts on the rows. The receipts in the package are compiled into a single PDF file, and the invoices include the attachments to be sent.
The Invoice transaction information option shows a summary (Invoice number, Invoice sum, Created, Edited, Sent, Paid, Invoice group, Payment reminder (sales invoices)) of the information on the selected receipt. If External financing is in use, the Financing material queued and Financing material sent data items are also shown for sales invoices. With respect to salaries, the invoice sum indicates the net salary sum. Read more on invoice transaction information here.
The Notes option opens a window, in which you can view and edit the information in the Notes field of an invoice/receipt, regardless of the status of the receipt. There is no limit to the number of characters in the Notes field.
The Create new invoice option allows you to create a new invoice/receipt of the same receipt type for the business partner on the selected row. If your user rights do not allow this, the program will notify you. The Create new invoice option can also be used for creating collection and penal expenses invoices.
The Send option allows you to resend the selected sales invoice if its status is Not sent or Sent, and the invoice channel is not No sending. The invoice sent will be completely identical with the original. Resending an invoice will result in a note being left in the Invoice information field. Resending invoices is subject to the fee specified in the price list.
The Special situations option opens the selected invoice’s Special situations view.
