In Management - Personal information and settings, users can perform actions such as changing their password lists and updating their contact details.
Editing personal information
The user’s first name, last name, address, postal code, city, mobile phone number and e-mail address are mandatory information. This information can only be edited by the user him- or herself. Procountor reminds users to check and update their personal information at login every 6 months. At this time it will also suggest using the Finago Key-app, if the user is not already using it. Up to date user information helps users with for example login problems, and helps Procountor better serve customers.
In the Home environment section, users can specify their home environments. If the user is only linked to one environment, this will be the only environment available in the menu. Users linked to more than one environment can choose a home environment from the drop-down menu, but this is not mandatory. The home environment can also be chosen by clicking on the magnifying glass next to the menu.
Users with the Personnel role must enter their social security numbers in complete form into the Personal information section. The privileges of such users are limited to creating and viewing their own travel invoices, viewing their salary information and editing their Personal information. Their information must also be completed in the person register. If you wish to limit a user with a role other than Personnel to processing only his or her own travel and expense invoices, you must also enter that user’s social security number. The user must also be registered as a Person in the Business partner register. For other users, entering the social security number is optional but recommended. A correctly entered SSN including the check digits, i.e. in ddmmyy-xxxx format, cannot be edited later.
If a user only has privileges to his or her own travel and expense invoices but the user’s social security number has not been saved in his or her Personal information and settings in the Management section, a notification will be displayed when the user opens the New travel or expense invoice view.
Users should therefore ensure that their social security numbers have been entered in Personal information and settings to be able to create travel or expense invoices. If you still cannot create travel or expense invoices, this means your personal data is missing from the Employee register. Please contact your company’s main user if you need to supplement your information in the Employee register.
In the approval circulation of purchase invoices, notifications of invoices waiting for verification or approval are sent to the e-mail address saved in this section. The e-mail address is thus a mandatory data item.
Users should enter their personal information with care and remember to update it, since a user’s personal stamp that will mark all changes made by that user in Procountor is based on this information. The stamp can be used to search for actions performed by individual users.
Edit Katso credentials
Clicking on this button will open a new view for managing user-specific Katso credentials. Users can save their Katso IDs, passwords and single-use password lists into Procountor. Katso credentials are required for sending periodic tax returns and VAT summary notifications through Procountor, since the Finnish Tax Administration requires strong identification for using these services. After the credentials have been saved in Procountor, the user will not be required to enter his or her credentials every time when making a notification through Procountor – the program will retrieve the required information directly from the user’s Personal information.
Clicking on the Save button saves the information entered in the field.
Clicking on the Clear button clears the information entered in the field.
Clicking on the Set single-use password list button saves the PDF single-use password list generated in the Katso service.
By clicking on Test Katso credentials, users can see if their Katso identification is functioning correctly.
Clicking on the Open Katso service button opens the Katso service in a new browser window.
By clicking on this button, users can change their personal passwords. The button opens a window for entering and confirming the new password. A password must be 8–80 characters long and include at least two of the following: small caps, large caps, numbers and special characters.
Change password lists
Clicking on this button generates a new single-use password list. The password list can also be changed when logging in if 10 or fewer passwords remain on the list. The old list will become invalid when a new one is created. You can save new password list to your own computer in HTML or PDF format, after this you can print that list.
The user may choose color themes they wish to use by clicking the Themes button. Besides the default theme of Procountor, the color themes include pink, blue, yellow and a color theme with strong contrasts. A condensed view layout may also be chosen, by means of which more information can be accommodated in the view, for example, when examining long tables.
The English localization of Procountor covers the majority of user interface text. The language selection does not affect company-level information, opening printouts/reports, or Voyant reports, among other things.
The language of e-mail notifications is determined by the recipient’s language settings in Procountor.
The interface language can be chosen from the links in the top right corner of the login page.
You can select your company’s language in Management > Company information > Basic information > Company’s language.
